This Privacy Policy explains how Marin Media ("Marin Media", "we", "us" or "our") collects, uses, shares and protects personal information when you visit marinmedia.video (the "Site"), contact us, or use our services. By using the Site you acknowledge this Policy.
Summary
In short: we only collect what you send us through the contact form or by email/phone, plus basic technical logs our web host records automatically. We do not use advertising or analytics cookies, we do not sell or share your personal information, and you can ask us to see or delete your data at any time.
Information we collect
Information you give us
- Contact form and email: your name, email address, phone number (optional), the service you are interested in, and anything you write in your message.
- Clients: if you hire us, we also keep billing details, project communications, contracts, and any materials you provide for the project.
- Client portal accounts: if we invite you to our client portal, we store your name, email address, a securely hashed version of your password (we never see your actual password), when you last signed in, and the projects, status updates and video links we share with you there. To protect accounts we briefly record the IP address and email used for failed sign-in and password-reset attempts.
- People who appear in our work: if you appear in photos or video we produce, we may hold your image, likeness, voice and any release form you sign.
Information collected automatically
Our hosting provider automatically records standard server logs when you load the Site, which may include your IP address, browser type, device type, referring page, pages requested, and the date and time of the request. These logs are used for security, troubleshooting and preventing abuse.
The Site does not use analytics, advertising, tracking pixels, or social-media plugins, and it loads its fonts from our own server rather than from third parties.
How we use information
- To respond to enquiries and provide quotes.
- To plan, produce and deliver projects, and to invoice and get paid.
- To give clients access to their projects, status updates and video links through the client portal, including sending password-reset emails.
- To operate, secure and improve the Site, including detecting spam and abuse.
- To comply with legal, tax and accounting obligations, and to establish or defend legal claims.
- With your permission, to display work featuring you or your business in our portfolio.
We do not use your personal information for automated decision-making or profiling that produces legal or similarly significant effects.
Legal bases (EEA, UK & Switzerland)
If you are in the European Economic Area, the United Kingdom or Switzerland, we process your personal data on these bases: performance of a contract or steps you ask us to take before entering one (e.g. answering your quote request); our legitimate interests in running and securing our business and Site; compliance with legal obligations; and your consent, which you can withdraw at any time without affecting earlier processing.
How we share information
We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We disclose it only to:
- Service providers who process it on our behalf under confidentiality obligations — for example our website and email host (Hostinger), cloud storage and video hosting (such as Google Drive or Vimeo, which receive your IP address when you open or play a video we share with you), invoicing and payment processors.
- Collaborators such as freelance crew or editors working on your project, only as needed for that project.
- Authorities or others where required by law, court order, or to protect the rights, safety or property of Marin Media, our clients or others.
- A successor in the event of a merger, acquisition or sale of all or part of our business, subject to this Policy.
Cookies & tracking
The public pages of the Site do not set cookies or use tracking technologies. The client portal uses one strictly necessary sign-in cookie. See our Cookie Policy for details. Because we do not track you across sites, there is nothing for "Do Not Track" signals to switch off; we also honour Global Privacy Control (GPC) signals as a valid opt-out of sale or sharing, should that ever become relevant.
How long we keep information
- Enquiries that don't become projects: up to 24 months, then deleted.
- Client records, contracts and invoices: as long as needed for the project and for up to 7 years afterwards to meet tax and legal requirements.
- Client portal accounts: until we remove your account or you ask us to delete it; removing an account deletes its projects, updates and links from the portal. Failed sign-in and reset records are deleted after 24 hours.
- Server logs: kept by our host for a limited period (typically no more than 90 days).
- Published portfolio work: until you ask us to remove it, subject to the terms of any release or contract.
Your privacy rights
Depending on where you live (including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon and other U.S. states with privacy laws, and the EEA/UK), you may have the right to:
- Know and access the personal information we hold about you and receive a copy.
- Correct inaccurate information.
- Delete your information.
- Opt out of the sale or sharing of personal information and targeted advertising. We do not sell or share personal information, so there is nothing to opt out of — but you may still submit a request and we will confirm it.
- Limit use of sensitive personal information. We do not collect sensitive personal information through the Site.
- Restrict or object to processing, and data portability (EEA/UK).
- Withdraw consent at any time.
- Not be discriminated against for exercising any of these rights.
To make a request, email contact@marinmedia.video with the subject "Privacy request", or call (505) 738-5666. We will verify your identity by matching details you provide against what we hold, and respond within 45 days (or one month in the EEA/UK). You may use an authorised agent, who must provide proof of authorisation. If we deny your request, you may appeal by replying to our decision; if you remain unhappy, you can contact your state Attorney General or local data-protection authority.

Security
The Site is served over HTTPS, and we use reasonable administrative, technical and physical safeguards to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a data breach affects your personal information, we will notify you as required by applicable law.
International visitors
Marin Media is based in the United States and our service providers may store information in the U.S. or elsewhere. If you contact us from outside the U.S., your information will be transferred to and processed in the U.S., where data-protection laws may differ from those in your country. Where required, we rely on appropriate safeguards such as standard contractual clauses.
Children's privacy
The Site is not directed to children under 13 (or under 16 in the EEA/UK), and we do not knowingly collect their personal information online. If you believe a child has sent us personal information, contact us and we will delete it. Minors who appear in our productions do so only with the written consent of a parent or legal guardian.
